WishWell User Manual (PAP Corps)
This guide covers the core WishWell workflows: setup, member management, generating order forms, accepting wishes, sending cards, reporting, and automation. If your team is new, start with the Quick Start section and then move through each workflow.
Quick Start (10-15 minutes)
- Log in at wishwell.ai.
- Go to Settings → Users and confirm organization name, email, URL slug, and branding.
- Verify your sending email before running any email campaigns.
- Add at least one admin user and a small pilot group of members.
- Generate Qx order forms and optionally send one reminder email.
Pro move: start with 25-50 active members to validate your process before scaling to your full list.
Account Setup
Settings fields that matter most
- Organization Name: shown to donors on pages, emails, and receipts.
- Email: sender + reply-to address for WishWell email workflows.
- Custom URL: your donor-facing WishWell link (for example,
wishwell.ai/your-org). - Branding: logo and primary color used across the donor experience.
- Minimum Donation/Wish: baseline amount applied per selected wish.
If email verification is pending, automated and manual sends may fail or skip recipients.
Members & Users
Users (admins on your team)
- Open Settings → Users.
- Add user by email and assign admin permissions.
- Use delete/re-add when changing a user email.
Members (constituents/donors)
- Add manually from the top nav + Member.
- Edit via search + member details.
- Deactivate members instead of hard deleting records.
Members can self-update preferences through links in WishWell emails or your update flow.
Orders & Wishes
Generate order forms
- Open Generate and select order forms/labels.
- Select quarter and output format.
- Optionally enable email order forms for opted-in members.
Accept physical + check orders
- Open Orders.
- Choose event type, quarter, year, and donor.
- Enter wishes from the form, then record check details.
Accept online wishes
- Donor visits your custom WishWell URL.
- They select quarter/year, choose wishes, and check out.
- Receipts are sent automatically after successful payment.
Generate & Send Cards
- Use Generate → Cards and Envelopes to produce monthly card files.
- Choose one combined file or one file per recipient.
- Enable Email Cards for immediate sends to eligible recipients.
For predictable recipient experience, send monthly card batches on or near the first day of the month.
Reports
- Member Export: full member roster + config fields.
- Deposit Report: payment/check activity by date window.
- Order Report: wish-level detail for reconciliation and analysis.
Reports are generated as CSV so your finance/ops team can audit and transform in Sheets or Excel.
Automation
WishWell supports low-touch automation for reminder campaigns and card delivery:
- Quarterly reminder emails can run on a fixed cadence (for opted-in recipients).
- Birthday card sends can run automatically for recipients with email cards enabled.
Automation works best when your member preferences are clean and your sender email is verified.
Troubleshooting
Email send issues
- Confirm sender email is verified.
- Check recipient opt-in settings.
- Run a small test segment before full sends.
Donor cannot find their record
- Search by name and ID.
- Confirm member is active and assigned correctly.
- Check quarter/year selection before entering wishes.
